- Phone Number: Mobile phone number provided for the purpose of receiving SMS inspection alerts and notifications.
- Business & Vehicle Information: Vehicle details, inspection records, photos, maintenance data, and related operational data entered through our platform.
- Usage Data: Log data, browser type, and interaction data collected automatically when you use our application.
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Fleet Ninja vehicle inspection and fleet management platform.
- Send SMS text message alerts and notifications related to inspection results, vehicle status, and operational updates.
- Generate inspection reports and AI-powered damage assessments.
- Communicate with you about your account, service updates, and support inquiries.
- Improve and maintain the security and performance of our services.
3. SMS / Text Messaging
Fleet Ninja operates as an authorized technology vendor for DSP operator clients. Driver consent to receive SMS messages is obtained by the DSP operator at the time of employment onboarding in accordance with the DSP's Consent to Automated Calls and Text Messages Policy.
If you provide your mobile phone number and opt in to receive SMS messages from Fleet Ninja:
- We will send you text messages related to inspection alerts, vehicle status updates, and operational notifications.
- Message frequency varies based on inspection activity and your notification preferences.
- Message and data rates may apply depending on your mobile carrier plan.
- You can opt out at any time by replying STOP to any message. You may also text HELP for assistance.
- Phone numbers collected for SMS alerts are not shared with third parties for marketing purposes.
- We use Twilio, a third-party communications platform, to deliver SMS messages. Twilio processes your phone number solely for message delivery on our behalf.
4. We Do Not Sell Your Data
We do not sell, rent, or trade your personal information — including phone numbers — to third parties. Your data is used exclusively to provide and improve the Fleet Ninja service.
5. Third-Party Services
We use the following third-party services to operate our platform:
- Twilio: SMS message delivery. Twilio's privacy policy is available at twilio.com/legal/privacy.
- Supabase: Database hosting, authentication, and backend services.
- Cloud Hosting: Our application infrastructure is hosted on cloud platforms (Vercel) with industry-standard security practices.
These providers only process data as necessary to perform services on our behalf and are bound by their respective privacy policies and data processing agreements.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide our services. Inspection records and vehicle data are retained for a minimum of 12 months to support historical reporting. If you close your account, we will delete or anonymize your data within 90 days, unless we are required to retain it by law.

We implement appropriate technical and organizational security measures to protect your information, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of transmission or storage is 100% secure.

- Request a copy of the data we hold about you.
